Most clients trust their CPA for advice on matters related to business whether it is related to saving taxes or improving efficiencies in their business. Thus, we as CPAs are not only pressed with the challenge of taking our own practice paperless, we are often challenged by the requests from our clients to help them go paperless.&lt;br /&gt;&lt;br /&gt;So, why not spend the next few posts reviewing some of the solutions that are available out there and being used by businesses, and I mean non-CPA businesses, to convert their business offices into paperless offices.&lt;br /&gt;&lt;br /&gt;Just recently I came across a news item about Boston Red Sox selected eCopy Paperworks PDF software to drive paper out of their accounting department. I thought it would be nice to check out some more on this software to see its performance so far and whether it is something that you could eventually present to your clients as one of the possible alternatives for them to take their business operations paperless.&lt;br /&gt;&lt;br /&gt;I will do some research on this software and if any of the readers have any information about this software type='text'>The Paperless Office Paradox</title><content type='html'>&lt;span style="font-family:verdana;"&gt;&lt;br /&gt;In an academic research paper titled “Ecological Paradoxes: William Stanley Jevons and the Paperless Office”, Professor Richard York of University of Oregon has presented, what he calls, “The Paperless Office Paradox.” Using the Jevons Paradox, as explained later, Professor York has presented the case that the failure of computers and electronic storage medium to bring about the paperless office is a paradox that is the development of a substitute of a natural resource sometimes results in an increase in the consumption of that (not the substitute) natural resource. This paradox was initially presented by William Stanley Jevons in his famous book "The Coal Question" what later on came to be known as Jevons Paradox. As explained by Professor York, "Jevons observed that as the efficiency of coal use by industry improved, thereby allowing for&lt;br /&gt;the production of more goods per unit of coal, total coal consumption&lt;br /&gt;increased."&lt;/span&gt;&lt;br /&gt;&lt;p&gt;&lt;span style="font-family:verdana;"&gt;I believe it is an interesting paradox and I wonder how it applies CPA offices. A paperless CPA office has been in discussions in professional literature for a long time. However, a visit to a traditional CPA office would sometimes make the Jevons Paradox come alive for us, probably in the form of a CPA Paperless Office Paradox. A recent research by CCH revealed that over three-quarters (79%) of all accountancy firms have implemented some elements of a paperless office system.&lt;br /&gt;&lt;br /&gt;The firms that have gone paperless have highlighted what proved to be the major hurdles in their way of taking their firms paperless. According to about one third of them, the senior staff in their offices were the most difficult to convince about the benefits of going paperless.&lt;br /&gt;&lt;br /&gt;The accountants have cited a lot of reasons for going paperless including easier access to client files, savings in storage and administrative costs and reduction in human error. I have summarized all of the above reasons for going paperless into one factor and that is a tremendous, I mean tremendous, increase in the profitability of a firm.&lt;br /&gt;&lt;br /&gt;I believe the savings translate into more than 25% increase in profitability of the firm. I believe there is no system that would cost you as much as 25% of your profits to implement. While we wait for thos results, it would be interesting to see what were the top 10 technologies for 2008 and if those trends were demonstrated in actual. Let's first look at the top technologies and then we can look at them one by one as they transpired.&lt;br /&gt;&lt;br /&gt;&lt;strong&gt;2008 Top Technologies and Honorable Mentions&lt;/strong&gt;&lt;br /&gt;&lt;br /&gt;The following are the 2008 Top Technology Initiatives. Those new to the list are noted.&lt;br /&gt;&lt;br /&gt;1.     Information Security Management - The development and implementation of a comprehensive security framework encompassing people, processes and IT systems that safeguards critical systems and information, protecting them from internal and external threats. Information Security Management is accomplished by analyzing and evaluating risks; selecting appropriate risk treatment options (avoidance, acceptance, transference and reduction); implementing controls (administrative, procedural, personnel and technological); then constantly monitoring overall performance. The resulting system incorporates the preservation of confidentiality (information is not available or disclosed to unauthorized individuals, entities, or processes); integrity (safeguarding the accuracy and completeness of key data) and availability (systems and data are accessible and usable on demand by an authorized entity) of information. Other properties, such as authenticity, accountability, non-repudiation and reliability, are also factors.&lt;br /&gt;&lt;br /&gt;2.     IT Governance - A structure of relationships and processes that direct and control an organization and help it achieve its goals by adding value while balancing risk versus return over IT and its processes. Components include strategic alignment, value delivery, resource management, risk management and performance measures. Project portfolio management and proper IT balanced scorecard measures, including earned value, are important review factors often overlooked.&lt;br /&gt;&lt;br /&gt;3.     Business Continuity Management (BCM) and Disaster Recovery Planning (DRP) - BCM is a comprehensive management process that identifies potential threats to an organization and the impact those threats may have on business operations. Disaster Recovery Planning is the development and testing of a plan to restore an organizations' technology infrastructure after a disaster or failure. Resources can include people, technology, data, facilities, customers and suppliers. Threats to these resources may include theft, virus infestation, weather damage, accidents or other malicious destruction. BCM identifies potential threats and the impact of those threats and a disaster recovery plan that is well-defined, documented, communicated and regularly tested helps provide structure and stability in the event of a business interruption or catastrophe, greatly improving the chance of business survival.&lt;br /&gt;&lt;br /&gt;4.     Privacy Management - The rights and obligations of individuals and organizations with respect to the collection, use, disclosure and retention of personal information. As more information and processes are converted to a digital format, this information must be protected from unauthorized users and unauthorized usage by those with access to the data, including complying with local, state, national and international laws, and the convergence of security and privacy. Identity theft technologies and education are an important part of this initiative.&lt;br /&gt;&lt;br /&gt;5.     Business Process Improvement (BPI), Workflow and Process Exception Alerts - Methods used to enhance business and transaction processing through a continuous cycle of modeling, execution, monitoring and improvement. Workflow involves the operational aspects of a work procedure and process exception alerts notify users when attention or follow up is required. BPI employs real-time monitoring tools that provide exception alerts to automate business processes on triggered events, identify problems or new opportunities in a transaction before a transaction is complete, or better control quality issues by catching problems more quickly. Workflow involves how tasks are structured, who performs them, their relative order, how they are synchronized, how information flows to support the tasks, and how tasks are tracked. Through the use of these tools, an organization can make significant improvements in the way it does business.&lt;br /&gt;&lt;br /&gt;6.     Identity and Access Management - The hardware, software and processes used to authenticate a user’s identity, i.e., ensure users are who they say they are, then provide users with appropriate access to systems and data based upon pre-established rights and privileges or interaction with automatic provisioning systems. Identity management may utilize one, two, or three factor authentication and may include passwords, tokens, dongles, key fobs, digital certificates (for Web sites and e-mail systems), PKI, biometrics and other emerging technologies. Access management may include single sign-on and the automation of the account provisioning process (add/change/delete).&lt;br /&gt;&lt;br /&gt;7.     Conforming to Assurance and Compliance Standards - The creation of formalized strategies, systems and training programs to address organizational goals and statutory requirements including, SAS Nos. 104-111 and FIN 48. It includes the implementation of collaboration and compliance tools to assist in the documentation, assessment, testing and reporting on compliance with specific controls or regulations. This initiative also encompasses tools to assist in implementing risk assessment standards, risk management and continuous auditing/continuous monitoring tools, along with computer assisted auditing tools and techniques (CAATTs). Also includes the implementation of configurable controls within existing financial and operational applications.&lt;br /&gt;&lt;br /&gt;8.     NEW Business Intelligence (BI) - The applications and technologies used for gathering, providing access and visibility to, and analyzing data to help business owners and manager make informed business decisions.The ultimate objective of business intelligence (BI) is to improve the timeliness and quality of information. BI tools include data warehousing and integration applications, report writers and application dashboards.&lt;br /&gt;&lt;br /&gt;9.     Mobile and Remote Computing - Technologies that enable users to securely connect to key resources anywhere, anytime, regardless of physical location. Supporting technologies include server-based applications, VPNs, remote control software, laptops, PDAs, Smart Phones, VoIP and wireless technologies, such as 3G (EVDO / EDGE), WiFi and WiMax.&lt;br /&gt;&lt;br /&gt;10. Document, Forms, Content and Knowledge Management - The process of capturing, indexing, storing, protecting, searching, retrieving, managing and controlling information electronically. This also includes scanning, forms recognition, optical character recognition (OCR), centralized data repositories and management of PDFs and other document formats. Knowledge management then brings structure and control to this information, allowing organizations to harness the intellectual capital contained in the underlying data. This is sometimes referred to as the “paperless” office, even though “less-paper” or digital office may be more accurate terms. Protecting digital data is a key component of any resulting system, enabling secure distribution and/or preventing illegal distribution and access to protected information. Example: A document distribution strategy controlled by a Digital Rights Management (DRM) server that helps prevent an encrypted document from being opened by anyone other than the intended recipient.&lt;br /&gt;&lt;br /&gt;&lt;br /&gt;&lt;a id="hm" name="hm"&gt;&lt;strong&gt;Honorable Mention&lt;/strong&gt;&lt;/a&gt;&lt;br /&gt;&lt;br /&gt;In addition to the above list, the AICPA is also including a section for Honorable Mention, the technology initiatives that placed #11− #15 in the final tabulation.&lt;br /&gt;&lt;br /&gt;11. NEW Customer Relationship Management (CRM) - The processes and software that enable organizations to manage all aspects of interaction  with customers, clients and/or vendors, and focus their resources on the highest value relationships. CRM applications typically include contact management, calendaring, practice management, sales history, workflow and campaign marketing. CRM can incorporate sales force automation, call center technologies and Web site integration. CRM systems create a comprehensive view of sales and service information, helping organizations provide improved customer and vendor interaction.&lt;br /&gt;&lt;br /&gt;12. Improved Application and Data Integration - Use of existing and evolving technologies, such as Web services, .NET, XML and SOAP, to better integrate data between diverse applications. These processes allow organizations to select, and seamlessly integrate data and functionality between “best of breed” applications. A common example is the ability to update a field in one application that automatically synchronizes the data with other applications. May also include Service-Oriented Architecture (SOA), an application-level architecture that further enables interaction between disparate applications and data.&lt;br /&gt;&lt;br /&gt;13. Training and Competency - Methods and curriculum designed to increase the knowledge of individuals. Includes ensuring an organization has the resources available to efficiently and effectively train new hires and current employees on a timely basis on relevant subject matter and ensure that learning has occurred. Delivery methods may include the use of Computer Based Training (CBT), Webcasts, podcasts and distance learning. Curriculum may be technology or non-technology oriented.&lt;br /&gt;&lt;br /&gt;14. Web-deployed Applications - Uses the Internet as a platform for deploying applications, and making data available to end users in lieu of installing and maintaining applications and information on local machines. This approach is referred to as “On-Demand” or “Software as a Service” (SaaS). Web-deployed applications may be corporately controlled and hosted, or hosted by 3rd party providers, such as an Application Service Provider (ASP). Web-deployed applications dramatically reduce installation and management costs and traditionally provide better data security, fault tolerance and greater convenience to end users.&lt;br /&gt;&lt;br /&gt;15. NEW Information Portals - Web sites that enable organizations to provide clients, customers, vendors, employees and other stakeholders with access to timely and relevant personalized information via self-service applications. As time goes, new technology becomes available, and new processes are developed. Internal and external factors contribute to the transformation process of all industries. Accounting industry is not an exception.&lt;br /&gt;&lt;br /&gt;            Only a few years ago very few accountants used software to prepare tax returns for their clients. Some even considered it a pride that they were smart enough to prepare tax returns without using software. Within a few short years, almost every accountant in the country uses some kind of tax preparation software to prepare tax returns. Now it is not a question of whether an accountant uses software to prepare tax returns, but of which software the accountant is using. Times have changed significantly in the accounting industry. Observant accountants may notice how fast things changed in their industry.&lt;br /&gt;&lt;br /&gt;            Unlike only a few years ago, it is almost unimaginable how any accounting practice could function and survive without computers and accounting software. There is probably not a single accounting practice in the country that operates without computers and software for tax and accounting. Only a few years ago, a large number of accountants did not consider computers or software as something that would be able to enter their industry. They thought nothing would replace their ability to prepare a tax return. They thought nothing could replace their ability to balance a trial balance and prepare financial statements out of it. Their denial has turned into widespread acceptance within a short time.&lt;br /&gt;&lt;br /&gt;            Accountants are now in a new phase of denial. This time they deny that it is ever possible for an accounting practice to operate without papers. They deny that it is ever going to be possible for accountants to operate without papers, period. There has been a lot of talk about paperless offices coming for years. Numerous articles have described how the world will change with paperless business operations. However, the predictions have not come true at the speed people were expecting. The topic lost its attraction over time. Thus, the denial of accountants that there could ever be a paperless office for them is justified.&lt;br /&gt;&lt;br /&gt;            The fact is that the paperless office is sneaking up on us. The technology that is required to convert business operations into paperless operations has become remarkably affordable. Small CPA practices can now go paperless with an investment of as little as $2,000, on their own. Times have changed significantly in this area but unfortunately, accountants are not noticing this trend.&lt;br /&gt;&lt;br /&gt;            The technology is available, affordable and quick. Yet there are thousands of accountants in the country, who are not even aware of this change coming in their industry. Just like it is unimaginable that an accounting practice could operate without computers and software today, within a few short years, it will be unimaginable that an accounting practice operates WITH PAPER.&lt;br /&gt;&lt;br /&gt;            The nature of this change is such that it could be devastating for many accounting practices. When accounting and tax software came about the process of adopting the change was not that difficult. You could go forward with a new way to operate very easily. You would purchase the software, train yourself and start using it, going forward.&lt;br /&gt;&lt;br /&gt;            Going paperless, however, is a culture change of a great magnitude. It brings about major changes in the way the offices work. It requires a major change in work flow processes. The conversion process also requires good planning and implementation. Conversion is not difficult but it does require special planning and attention. There is a significant revolution brewing in the accounting industry, unnoticed by many, which could damage and kill many small accounting practices, while make fortunes for others. Throughout the years of my operation I had focused on solutions which were long-term and growing with the times. I got to this attitude after I implemented a time and billing software very popular in the accounting industry and found it extremely archaic in the limitations it was putting on me to operate the office. So, about 5 years ago, I implemented Microsoft Outlook in my whole office as the scheduling and task management system. The Task management (and journal) feature in Outlook turned out to be an excellent office management system for my practice. Again, size may be an advantage for me and I don't know what is the size of your practice. Within a year my office became so used to Task management that we got almost total control on all the workflow in our office. Task and scheduling and journal in Outlook are very powerful features. Yet, sometimes when I mentioned to other CPAs that I was using Outlook they would look at me with surprise (thinking I was not "there" yet). Outlook worked outstandingly well for me. I would assign client tasks to staff from my computer and they would accept it and that way the task would show up in my list as assigned task and on their list as to do. Everytime they did some work on it they would update the task and I would get an automatice notification with update for my list. So, I would always be up to date on the status of each task. If there was no update on any task I would assume there was no progress and have the staff member answer for it in my own ways. When the task was complete I would get a notification that the task is complete and I could take the next step after it. This could be managed by the managing person whoever is responsible for managing the workflow in the office. So, although I did see some systems by SurePrep and Xpitax.com but since I was burned already with one expense I did not want to go with anyone else. Here is my other justification for going with Outlook. Outlook is a software that caters to a much larger market and so it can afford (although Microsoft can afford anything) to innovate and improve and grow. So, you benefit from innovation that happens in Outlook and a lot of support resources on them. Sure it has some limitations when used in a CPA office but then no solution is perfect anyways. You give some to get some. I was managing staff time with QuickBooks timer so I knew how much time was going on each client and my billing was in Quickbooks. With specialized software made for a particular industry such as accounting there are a lot of uncertainties. Will they be around for long to support after a few years? Will they continue to innovate and improve as technology improves (and you know the speed of that)? Will the cost be affordable for support year after year (remember there is no annual support for Outlook)? And other questions related to long-term sustainability. The abilities I developed to manage my office within Outlook were really great and I can now manage any office with that system and I have reasonable confidence that Microsoft will be around for a while and will innovate and will remain reasonably affordable - yet Outlook may not be a perfect solution - it will be there. Not knowing the size of your practice and your inclination towards various solutions, I am not sure if you would be convinced with the way I approached it but I presented the facts for you. Often in that excitement we end up purchasing equipment that are much more than what we need to start our process to go paperless.&lt;br/&gt;&lt;br/&gt;My recommendation is to start small. Buy a small $200-300 scanner with Automatic Document Feeder. I started with Visioneer 9450 with a USB connection. When a CPA is working on a client’s tax return and needs to refer to prior year return, it is easy for her to look at the paper printout while working on this year return on the computer. However, if her filing system is paperless it would be very inconvenient for her, sometimes, to switch between screens to take a look at the prior year return and come back to this year return – back and forth. This could even result in use of more paper than before if the CPA ends up printing a copy of the prior year return to refer during the return preparation and then destroying it. That would result in her printing almost all her clients’ prior year returns and then destroying them because she has an electronic copy of the return.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;The technology available at this time makes it easy to avoid this problem. Over time it has become more and more easier for CPAs to go paperless as some of these inconveniences have been addressed by the available technology.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;A small investment can help CPAs resolve this problem forever and would save them all the inconveniences related to it. Windows XP allows the use of multiple monitors with one computer. This feature is already there in the Windows XP. However, the user would need to buy a special video adapter to attach to the computer to connect multiple monitors. Multiple means up to 10 monitors can be attached to one computer. There are numerous benefits of this convenience in Windows XP.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;If all your prior client documents are already in electronic format on your server and you need to refer to several of them at once to work on a particular project, you could open each of those on separate monitors connected to the same computer. This would eliminate the need to switch between different screens each time you need to look at another document.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;The set up for connecting additional monitors to your Windows XP computer is not very complicated. If you use a notebook computer you can use the feature of Dualview which is also available in XP. You can just connect an external monitor to your notebook and set up your XP, from Control Panel, for Dualview. The limitation with Dualview is that your notebook or laptop monitor would always be the primary monitor. The other feature, that of multiple monitors, allows you to set any of the monitors as the primary monitor.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;Once you set up your computer with multiple monitors, you can eliminate one of the major inconveniences that staff faces in a CPA offices, that of referring to multiple documents from the file and having to switch between screens while working. Even if you have already become comfortable switching between screens on one computer, you may still want to test out this feature of multiple monitors and you may be pleasantly surprised by the ease it brings to your life. Since the title and what is discussed here is based on actual experience of the author, it is alright for it to get some media attention.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;Most CPA practices these days have a small office network in place to handle the operations of the business. Rather, it is almost impractical for them to be operating without some kind of a computer network in their offices. Most CPAs and accountants also efile their clients’ tax returns and so they need a reliable internet connection in their office. Unbeknownst to them, CPAs have over 90% of what they need to go paperless, at least on the hardware and the software side.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;CPAs have almost all the hardware and software needed, in their office, to convert their practice into a paperless practice. Almost means close to 90%. However, they need to build up another asset to be able to go paperless in a very short time. The asset they need has to be built in house and cannot be purchased. They have to first recognize the extreme importance of the need to go paperless and then develop a strong determination to do so within a short time and limited budget.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;Recognition of the importance of going paperless is the major hurdle facing the accounting industry at this time. Many CPAs are still waiting on the sidelines to watch how this trend evolves. Generally, that is not a very bad strategy. Not all trends become permanent in any industry and so a lot of times it is good to wait a little before getting on the bandwagon. However, paperless movement has been building momentum over a long period of time. In fact, it probably has been in discussions for over a decade. There have been some early adopters who benefited from it. It has not become a general trend yet in accounting industry, other professional services industry and business in general. But there are signs that it is picking up speed.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;It is during the last few years that the capacity of the technology, that is being used in accounting offices, like other businesses, has increased tremendously at very affordable prices. Until a few years ago, going paperless in an accounting office was a major undertaking as it would require upgrading of hardware and software in a significant way. Now, there is no need to upgrade. If the hardware was purchased during the last 2-3 years, it probably has adequate capacity and speed to handle a paperless office without much upgrading.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;In that case, a typical small CPA firm just needs to add a couple of scanners at $300 each and a PDF converter software that can be purchased for about a $100 these days. A strong commitment to go paperless and a determination to get it done within a given time frame is short in supply and is not available with any hardware or software vendor.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;It is a very strange phenomenon. The technology is available and the need is there and yet most small CPA practices are not paperless, and one would hope that they are at least thinking about going paperless sometime soon. I guess the trend is now being noticed by a lot more people. Paperless is the way to go and to go immediately. I do notice that a lot of people say that it takes time and it will come slow and they may be right. But, fortunately, my experience was that I was able to go paperless very quickly – in fact within 60 days. I came across articles after articles about how it was possible for CPAs to operate in an almost paperless office. It was, however, quite difficult for me to imagine my own office being a paperless office.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;“How could a CPA really operate a practice without papers?” I would wonder all the time. I thought of these talks about paperless offices as being something of a creation of imagination about how life would be in 2035 when I may not be there.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;The technology that I was using in my office was helping me improve the production. It was also helping me learn some of the more advanced possibilities in my system. In my small practice, it was a simple client-server network with a T1 internet connection. It was during one of my overseas trips about four years ago, that I discovered the power of my system to its best. With the T1 connection and a static IP address, I was able to work on my office system from over 10,000 miles away without any problems. This was a wonderful experience and my desire to learn more about the paperless office became extremely strong at this point.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;I spent a lot of time, powered by my strong desire, to learn on the ways I could possibly convert my CPA practice into a paperless practice. I had already enjoyed the pleasure of working on my office system from around the world. I thought that if I could only access all the other papers I needed to look at while working on a client’s file I would not even need to be in the office at all to work. Besides enjoying the frustrations of continuous interruptions, accessing papers was the only remaining reason for me to be in the office. Sure there were other reasons, but to carry out my work for a client, accessing papers was the only one.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;Now that my desire was so strong, I started running into various pre-packaged solutions advertised in the direct mail and magazine advertisements. I checked out a few, called a few 800 numbers and received some promotion materials. All turned out to be beyond my budget. I had learned a lot about the potentials of my simple office network by now, and figured out that I was too poor to afford some of the good pre-packaged solutions available out there for CPAs.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;Upon a thorough study of the technology in my office and the hardware available in the market at affordable costs, I came to an unbelievable conclusion. It was unbelievable because based on my calculations the cost of converting to a paperless office was going to be 5 or 10% of what it would cost me to go with a pre-packaged solution. This happened within one year of my trip overseas and it has been three years since then. I could not believe it but I had a gut feeling that I was right in my conclusion. I considered the cost of failing in an attempt to go paperless not too high. I was already managing a paper-full practice and if an attempt to go paperless were to fail – I would remain where I was – a paper-full practice.&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;I spent a considerable amount of time developing the detailed plans on the whole process of going paperless, ordered the scanner that I had studied and found to be most affordable and launched the project. In terms of managing the staff time to work on the conversion process and managing priorities it was quite challenging. The process itself was quite enjoyable and revealing (about the hidden treasures in my filing cabinets) but above all quite enriching.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;At the conclusion of my project to go paperless, about 60 days from when it started, I discovered that it was truly possible to manage an almost paperless office. I enjoyed more than two years of paperless office at my practice. The efficiency of the office went up significantly during that period. Clients experienced a different, a much higher level, of efficiency in service.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;There were certain things that went right for me in this process. I was able to develop my understanding in this area over the years due to my curiosity and had a good handle over the capacity of my seemingly small office network. I discovered that the current office networks, in many small CPA offices, are like human brains. They are highly powerful and highly underutilized.&lt;br/&gt;&lt;br/&gt;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;A paperless CPA office is no more a thing of the future. The true beneficiaries of this move by CPAs are their clients. CPAs who do not have to spend a lot of their time pushing papers and locating lost documents, would definitely be able to provide high-level services to their clients and benefit them more. I had been thinking about converting into a paperless practice for a long time but could not do so because of some major issues in convincing my senior staff members. Finally, in the last quarter of 2003, I got the opportunity to take charge of the situation and did so.My idea of a paperless office was that I would have every single document related to client work in electronic format on my server and I would be able to see it from anywhere in the world. Accessing from anywhere in the world was not a problem because I already had a T1 line in my office and had a static IP for my server. If you are not familiar with that we can discuss that more in this forum. In any case, I was able to access my server from anywhere in the world where I had internet access. So, my only next step was how to have everything that I need to see in my office be available on the server. So, if I was working on a client matter, I would have to see some old documents from the file and for that either I would have to carry the papers with me or come to office to work on it. What if I could see those documents online wherever I was then there was no need for me to do either.So, I studied a lot about the various possibilities and then developed my own plan on how to implement it. I decided my own way rather than using any ready made solution. I discovered that a paperless office is actually achieveable and it is highly efficient. For the eight years I had been in practice, I had always loved to go to work and looked forward to it, but the last 16 months were the best of them. I was able to work wherever I wanted to, the office was extremely organized, no papers floating around and extremely efficient response to the clients. It was an amazing experience to be working in a paperless office. I actually experienced how it feels to not have any lost papers, and to be able to look up a document you need within seconds rather than take 5-10 minutes to go look for it.I am now helping out other CPAs with this process. Still, let me tell you how my office operated and if that works for you or if you already have something like that in place and are looking for even better solution.&lt;br /&gt;I was using Microsoft Outlook in my office like crazy. Every single staff member was required to maintain their tasks on Outlook. Each of them had a category for each of their clients - so clients were categories. I was using the same categories in my system. Whenever there was a project to be worked on for a client I would send a task to them internally and they would accept it. By accepting, the task would appear on their list under the respective client category and on my list as task assigned to a particular staff member. Whenever they made progress on the task they would update the task on their computer and I would automatically get update in my system and I could see where it stands. I would print out my task list in a format where it showed the tasks assigned to each staff member separately. They would print out a task list which would be categorized by client. So, at any given time, you could get a printout from their task list to see what is pending for each client. That task list was always up to date because they were required to enter every thing that they were working on for any client into that task list before starting on it. Actually, they were supposed to enter it immediately upon the determination that it needs to be done even if it was to be done 15 days from now. That way we never lost track of client work. My practice was to very frequently ask them to email me (or place a printout in my inbox) their task list.&lt;br /&gt;Microsoft Outlook (not Outlook Express) turned out to be a great organization asset for my firm. I used the Task system and the calendar in there very extensively and for more than 3 years before I got on to the paperless bug. It worked extremely well for me as I was able to monitor it wherever I was in the world.&lt;br /&gt;I am not sure if I answered your question. I tried based on what I understood of the question. I have not used Lacerte as I developed my own system and that is what I am very strong about. Developing your own filing system gives you total control of the process and you can improve it as you like. Think about your own current manual system. How do you search for a file? You know exactly what document you are looking for and you go and pull it out. Most CPAs know exactly what document they are looking for and by the naming convention I have suggested you will hardly ever have a problem searching the exact document you are looking for. The name of the document will give it away all for you. Having said all that, the PDF converting software that you use can change all of that for you. The Scansoft guys have a little advanced software (still not more than $100, I think). So, if you use that software to scan your documents you can add that feature into your document search without any extra step or cost (except the little difference in the software price). I started with Visioneer USB 9450 but it got tired after a month or so. It's Automatic Document Feeder was not working properly. It was         covered under warranty. So, they offered to fix it and I sent it back to them. However, I was in a rush to convert so I ordered another scanner from Office Depot online for next day delivery. I thought I would keep two scanners once I get the other one fixed. Anyways, this time I could not get 9450 as it was not being sold by Visioneer anymore so I ended up buying 9650 (slightly expensive). I had dedicated one person to the job of scanning in the office and so I did not need more scanners. There were times when other staff members needed to scan something but they were able to squeeze that in into that person's schedule and get it done easily. During the tax season, or at any other time, no one in the office needs a scanner because the software that I have mentioned, Adobe ($350+) and Scansoft ($100), both allow you to create PDF files directly from your computer. So, the way it works is that if you have prepared a document, any document, on your computer and now you want to save a copy for your files and send one to the client. You print one copy on your regular printer and then you print another copy for yourself - THE DIFFERENCE NOW IS THAT - the second time you are printing for yourself you are printing to a printer listed in your list of printers as "ADOBE PDF." This is not a physical printer but it creates a PDF file of your document immediately on the screen and then you save that document by giving it a name and placing it in the right directory. This step gets done in seconds (not minutes) and you save the step of printing the page (thus saving paper and toner and printer depreciation) and the time required for you or someone else to walk over to the filing cabinet, find the folder and file it in there (no less than 5 minutes in a very efficient office). Secondly, you eliminate the errors associated with someone else handling your document and filing it in the wrong place, the waiting time between the time of printing and the time of filing (thus making the document unavailable for other reference purposes) and the errors associated with it being misplaced during or after the process. It is safely filed in the right place immediately in seconds - no scanner needed, no time required for filing. Now for the tax season. Most tax softwares now provide an option of creating a PDF file of the return directly from the return. I was using Intuit's ProSeries. In there, there was an option under File menu option. So, you could create a PDF file of the return right away there on the screen and save it in the right folder. The beauty of this all was that many clients requested the tax return to be emailed to them in the PDF format for their records. So, you eliminate not only the need for printing your copy but also the client copy. That is immense saving. Secondly, you eliminate all the time required in filing and all the nine yards associated with it. The return is done and filed at the same time in the right file instantly. You would however need to scan the client-provided back up data that you need to keep for your records. I found a trick to it too. I have an efax number. This is an online fax service available at &lt;a href="http://www.efax.com/"&gt;www.efax.com&lt;/a&gt;. Here you get a fax number which you could give to your clients to fax all their tax documents to you. When they fax something, those faxes DO NOT come to you on a fax machine. Rather, they come in email. You open that email look at the document and ONCE AGAIN, print the document (that was faxed to you by the client) into ADOBE PDF and there you go. You have the client provided documents in your system in PDF format without even getting a paper that needed to be scanned and filed in some directory by someone. So, you avoid the cost of fax machine (efax costs about $12 per month if you want a local number) and also the time associated with getting the documents reviewing them, scanning them and all the associated process.&lt;br /&gt;&lt;br /&gt;2.&lt;br /&gt;I did not have a single client who was interested in CD. All of them were quite pleased to get it emailed to them. So, you attach their document (whatever document it is including tax return) to an email and send it to them and they save it in their system. You could however, use the CD method very easily. You may not save much time by using CD but you would still save the cost of printing etc (even after taking the cost of CD into account). Try to get the clients used to the email method. Later on you could even get your website to have a secure access for each client to access their files online (and pay you an extra fees per month for that) and this will be easy after you have all your practice on paperless system.&lt;br /&gt;&lt;br /&gt;3.&lt;br /&gt;I did not quite understand the question on layout. I have given all the steps in the most simplest manner possible. If you were asking about the physical layout, then my answer would be that your current office layout, whatever it is, will be alright for this new system. The office, after going paperless, will turn into a high-class office and there will be a significant change in the staff moving-around traffic and there will be a significant change in the way staff works. If I did not get this question right, please let me know and I will try again.&lt;br /&gt;&lt;br /&gt;4.&lt;br /&gt;I think the best approach is what worked for me. I was extremely pleased with what I did. I got all the prior year returns scanned. You could do only 2 or 3 years if you like. But, that was the major saving. When the tax season arrived I did not have to get up from my desk at all to get any files or returns. That is really the saving that you could experience in the next season. As I said, the current year return you don't need to scan anyways as they will be created in PDF format directly on your computer. There is no paper to be printed and then scanned. It is directly paperless once you start using ADOBE or SCANSOFT.&lt;br /&gt;&lt;br /&gt;5.&lt;br /&gt;As I mentioned in the book, there would be a phase of scanning and training that needs to be done with the staff. If each staff member (including yourself) does one full cycle of scanning and retrieving on the screen you will become very familiar with it. What it is, is that you are really taking a picture of your document (in PDF format) and saving it as a file on your server's hard drive. Then you look at that PDF file (which would be idendtified by its name as I explained in the book) when you need to by just clicking on it and it opens up on your screen. So, if you are working on the client's this year return and you come across a question that you need to confirm from last year's return (say you want to check the carry forward capital loss) you just open up Windows Explorer on your computer (while your tax software is open) and go to Explorer and open that client's directory and then go to Tax Returns directory for that year and find the file and click on it and there you go... you have the last year return on your screen immediately within seconds. As I mentioned in the book, the person scanning would have to be responsible to make sure that every document that is scanned looks good on the screen and legible before saving it with a name. The documents that you created directly from your system in PDF format would be in the best possible quality you can imagine. They will look great and will never loose quality with coffee spils or anything else related to physical filing.&lt;br /&gt;&lt;br /&gt;Since I had done this myself personally I put it down in the simplest possible way. You will discover that as you complete the process the whole office feels extremely workable and as I mentioned in the book, you can always become more sophisticated about it. But, you do not need a book any thicker or detailed that what I have provided to you. This is exactly what I did and it was super success. The savings you can compute very easily based on your own costs - a step that required 5-10 minutes (for example printing a document and filing that document) would now require about 20-30 seconds. Accumulated, over the year and staff members, you will have tremendous time saving. How you use it would be the bigger challenge, but I am sure you will find a way to do that.&lt;br /&gt;&lt;br /&gt;I would be glad to continue to answer your questions as you have them.
